Something that you will hear us talk about ALL THE TIME in the clinic, is retention. It is much easier and more affordable for the business to keep the patients that we currently have and keep them happy, rather than constantly trying to campaign and push for new patients.
When patients are happy and see results, they keep coming back and are keener to try new services, and also they usually can't help but tell their friends and family about their awesome experience!
One strategy we use in the clinic to keep track of patients who haven't booked their next appointment or have "fallen off" their treatment plans is the unscheduled guest report. You can think of this report as a safety net to help catch patients before we lose track of them.
We print the unscheduled guest report weekly on Thursdays and make the calls the same week.

Unscheduled guest report flow:
1.) Print the reports for all practitioners every Thursday morning or early afternoon.
2.) Place reports for Dr. Nicole, Dr. Mekayla and Rachelle face down on their desks, we try and have these back from them by the end of the day Thursday or Friday morning latest.
3.) Go ahead with the calls for Bryan, Vineet, and Marissa.
4.) When placing the calls to the patients on the list, ensure you do the following to prep:
a. Look up their patient profile in JANE
b. Look to see if there are any notes on their file that tell you why they haven't rebooked yet.
c. For ND patients, I find it helpful to reference their most recent treatment plan to see when the Dr requested them to come back for their follow-up appt.
d. One by one make your calls. If you leave a message or speak to the patient ensure you are writing notes in the note section of their profile so that we can keep track of all communication.
